In Iteras, you can create an unlimited number of additional information fields for which you define the settings yourself. By using these fields, you can tailor Iteras precisely to the needs you have in your subscription business. In addition to storing specific data, the fields are also used when you create specific conditions on, for example, invoice lines, order forms, or automations.
For example, an additional information field at subscriber level might be “Birthday” or “Position”, and an additional information field at product level might be “Catering” (used if the product is an event).
How to create a field
Open the account menu in the top right corner > select ‘Fields’
Click the ‘New field for’ button
You can then choose what you want to create a field for.
Read the guides below to clarify which one fits your needs.
Regardless of which level of the system you choose to create a field for, the following options apply to all of them.
For the field, you must enter a Short name that clearly describes the field. For Type, select one of the options described later in this guide. Some of the Types allow you to enter Help text for the field.
You can use a bit of HTML in the help texts. To insert a link (e.g. to a GDPR policy), use the following code:
<a target="_blank" href="https://sportsmanden.com/privatpolicies">Read more here</a>
Under Features, you have the option to configure additional settings for the field. One of the most commonly used ones when it comes to subscribers and subscriptions is “Internal use only – not shown in order forms or self-service”, which is relevant if there is customer information that should only be available to e.g. customer service staff or similar.
The ID of the field is an internal ID that can only be seen in Iteras, but is useful e.g. in relation to importing subscribers or for integration with other systems.
Tick Search in field if you want to be able to find the subscriber when searching or filtering based on the information from the given custom field.
If you are unsure which fields you should create for your needs, please feel free to ask our support for help.
Fields on subscriber/member level
Fields that are typically created for subscribers are Invoice copy, Phone number, VAT number, e-invoice and EAN reference.
Phone number: Can be created if you want additional contact information for the customer, as well as additional information to look them up by. Furthermore, it is practical and provides good usability if, as a publisher, you offer payment with Vipps MobilePay, as the number is remembered when you click Order and are forwarded to the MobilePay payment solution.
When you create a phone number field for customers, select “Phone number” as the type.
VAT number: If your subscription segment consists of other companies or public institutions, it may be relevant to add a VAT number as a master data field on your subscribers. When choosing this type, it is also possible to enable validation, for example to check against the EU’s VIES, as well as the option to check for duplicates.
When you create a VAT number field for customers, select “VAT number” as the type.
E-invoice recipient: used if the customer is to be invoiced via EAN. Normally created together with a Peppol integration. If you want to start invoicing your customers via EAN, please write to our support, and we will set up the integration for you.
EAN reference: used for EAN invoices, especially when invoicing municipal customers. To create such a field, select field type “Text” and under function, tick “Contact ID/customer reference for e-invoices – inserted as "Contact/ID"”. Please write to our support if you need help with this.
Acceptance of terms with date: if you have multiple optional terms/conditions in addition to the standard terms that are accepted when ordering the subscription. This can, for example, be acceptance of marketing from business partners. A field of this type will be shown as a checkbox to subscribers, but is stored in Iteras as the date and time when the customer gave their consent.
There are several different field types, each configured in different ways. here is a selection of them:
Text: A free-text field where you can write whatever you want. For example, it can be a comments field where the customer specifies preferences for their order.
Date: A date is entered here. In the Iteras filter, you can filter both by dates and by the calculated associated values – for example, you can find all subscribers/members in specific age groups, which can be useful in relation to student or senior discounts.
You can choose between four displays of the date:
Date, e.g. "13/9-2025"
Date and age, e.g. "11/09-2010 (15 years)"
Date and time since, e.g. "18/12-2024 (11 months ago)"
Date and time until, e.g. "05/06-2066 (in 40 years)"
Select one option: Here you can create a number of options, of which one can be selected. The options can be displayed as a dropdown menu or as radio buttons (bullets). As an extra feature, you can enable the option to write something other than the predefined options. In that case, a text field appears.
Select multiple options: Here you can likewise create a number of options, with the difference that it is possible to choose more than one option.
Yes/No: A field with two answer options – yes or no. When using this field, you should set "No" as the preferred value.
Fields on subscriptions
Fields that are typically created for subscriptions are
Sales price – for example, if you have agreed a special price with a specific subscriber,
Fields on campaigns
You create fields on campaigns to organize them (practical when you have more than 50). For example, you can mark whether the campaign is introductory or standard, or whether the campaign is intended for private customers or businesses. You can also use campaign fields for integration with other systems.
Fields on business policies
As with campaigns, most often used for organizing the policies if you have many of them.
Fields on payments
Here you can create one or more virtual “cash registers”. They can be used for manual adjustments of payments or lack thereof.
Changing fields
When you change the fields, for example the name, external ID, or options, the field is automatically updated for all customers or subscriptions. The more places the field is used, the longer it takes for the system to update.
