Welcome email

If customers get a new subscription, you can set up the system to automatically send them a welcome email.

Iteras’ default setting is an automatic text that informs the new subscriber about the subscription number, self-service option, possible subscription start date/time, etc.

It is possible to customize the email with text and content so it reflects your company.

To customize the email, open the menu item Sales > click the sub-menu item Email templates.

By default, there will be a standard Iteras-generated ‘Welcome email’ template in the overview, which is linked to your business policy.

If you click the name in blue text, the template will open and you can edit the content of the welcome email.

  • Template name: Internal name – relevant if you have different welcome emails linked to different business policies.

  • Email subject: The subject line the customer will see in the email when they receive it.

  • Tags: The listed tags can be inserted into the text boxes below. If a tag is inserted, it generates information in the email about the customer’s specific subscription(s) or the customer’s basic data, e.g. the subscription start date or login for self-service.

  • Text boxes: In the text boxes, you can customize the texts and format the content. Regarding styling of the content, you have the options available in the text editor, such as text color, size, bullet points, etc. If you want to style further, you can click the HTML button.

    However, please note that there are some limitations regarding what CSS styling the system approves. You will be notified of an error if what you enter cannot be added.

Text boxes

The standard template consists of 9 text boxes, each with its own setting for when it is displayed, as shown in the image below:


For example, ‘show always’ is relevant for intro text, customer number, and the option to change password, and ‘show if subscription has upcoming products’ is relevant if the customer receives print issues. This makes it possible to tailor emails to customers’ specific information needs.

If you want to add new text boxes, scroll to the bottom and click ‘Add box’.

If you want to delete a text box, do this by clicking the ‘delete’ icon to the right of the text box.

If you want to move a text box further up or down in the order, click the ‘arrow’ icon to the right of the box and “drag” it to the desired position in the order.

When you are done editing the template, scroll to the bottom and click ‘Save’.

You are now back in the overview. To see a preview of the email template you have just adjusted, you can click ‘View preview’. You also have the option to send a test email by clicking the ‘email’ icon to the right of the template.


Note that you can never delete the welcome email entirely, as we have a standard welcome email as a backup.
